Job description:
- The technical assistant supports our brokers with their work.
Location and Job Type:
- Westmount
- Permanent full-time position (35 hours) daytime from Monday to Friday
Qualifications:
- 1 to 2 years’ experience in a similar role (ex.office clerk, invoicing);
- A secondary school diploma (SSD);
- Have a diploma in office automation, secretarial, or an equivalent level of studies (an asset);
- Knowledge of the insurance industry and would be interested in obtaining a certification as a damage insurance broker (an asset);
- Excellent knowledge of the Office Suite (Word and Excel);
- A master of French and English language, written and spoken, as we have many international partners (customers, suppliers, etc.).
The candidate possesses the following skills:
- Attention to detail;
- Ease in learning new software (internal management system for clients TAM and Policy Works);
- Excellent organizational skills and ability to prioritize;
- Demonstrates accountability and reliability in the quality and timeliness of work;
- Flexible and adaptable with proven problem-solving skills;
- Although has the confidence to work autonomously, enjoys collaborating and working in a team.
The principal tasks and responsibilities of the candidate will be:
- Scan contracts and documents;
- Enter transactions into company systems (TAM and Policy Works);
- Download policies from insurer portals;
- Invoice and prepare documentation to send to customers;
- Manage the various mailboxes;
- Update pre-authorized direct debits;
- Prepare the pink slips;
- Send signed documents to insurers;
- Issue contracts for issuing insurers;
- Make letters of recommendation according to brokers requests and follow up on them;
- Track alarm system proof, signatures, and other documents;
- Replace the receptionist occasionally;
- Carry out any additional tasks requested by the head of the commercial department and the company.
